PRINCE2F PRINCE2 Practices Practice Test 22 — 15 Questions

Question 1

Which product describes the quality methods and tools to be used during the project?

Accepted Answer

Quality Management Approach. The Quality Management Approach is the PRINCE2 product that describes how quality management will be performed, including the quality methods, tools, techniques, and responsibilities to be used during the project. It is created during the Initiating a Project process and is part of the project initiation documentation. It answers 'how' quality will be managed across the project.

Answer

Project Product Description

Answer

Quality Management Strategy

Answer

Quality Register

Question 2

Which document is the key output of the Initiating a Project process?

Accepted Answer

The Project Initiation Documentation. The Initiating a Project process is responsible for establishing a solid foundation for the project, and its key output is the Project Initiation Documentation (PID). The PID consolidates all essential information—including the Project Plan, Business Case, and Project Brief—into a single, approved document that defines the project's scope, objectives, and controls. This document is the baseline against which project progress is measured and is formally approved by the Project Board before the project proceeds.

Answer

The Project Plan

Answer

The Business Case

Answer

The Project Brief

Question 3

A project is forecast to exceed its cost tolerance. What should the Project Manager do?

Accepted Answer

Raise an Exception Report to the Project Board. In PRINCE2, when a project is forecast to exceed its cost tolerance, the Project Manager must escalate the issue to the Project Board by raising an Exception Report. This is because tolerances are delegated authority limits, and exceeding them requires the Project Board to decide on corrective action, such as approving a revised plan or adjusting tolerances. Option C is correct as it directly follows the PRINCE2 principle of management by exception.

Answer

Revise the Project Plan to reduce costs in later stages

Answer

Issue a Highlight Report noting the overrun

Answer

Request additional funds from the Executive informally

Question 4

Which TWO of the following are types of issue in PRINCE2?

Accepted Answer

Request for Change. In PRINCE2, an issue is a relevant event that has occurred and requires management attention. The three defined types of issue are Request for Change (C), Off-specification (E), and Problem/Concern. Option C is correct because a Request for Change is a formal proposal for a modification to a product's specification or baseline, which is a standard type of issue in the PRINCE2 issue management procedure.

Answer

Opportunity

Question 5

What is the purpose of the Managing a Stage Boundary process?

Accepted Answer

To enable the Project Board to review the progress of the current stage and approve the next stage. The Managing a Stage Boundary process enables the Project Board to review the progress of the current stage and approve the next stage. It provides the Project Board with the information needed to decide whether to continue, and it produces the Next Stage Plan (or an Exception Plan if the stage is off-track). This process acts as the control point between stages in PRINCE2.

Answer

To produce an Exception Plan for the project

Answer

To close the project and produce the End Project Report

Answer

To control the day-to-day activities of the stage

Question 6

Which THREE of the following are components of a Business Case?

Accepted Answer

Major risks. A Business Case is the justification document for a project or investment, and it must quantify the value proposition, so option E (Costs) is correct because the estimated investment, funding requirements, and total cost of ownership are essential to show what the organization must spend. Option D (Expected benefits) is correct because the Business Case must articulate the measurable outcomes, value, or returns the investment will deliver, which are weighed against the costs. Option A (Major risks) is correct because a Business Case summarizes the significant risks and constraints that could affect the viability of the investment, giving decision-makers a realistic view of uncertainty. Option B (Project Plan) is not part of the Business Case; the detailed schedule, tasks, and resource plan are produced later in planning after the Business Case is approved. Option C (Risk Register) is also not a Business Case component; it is a separate project artifact used to log, track, and manage individual risks during execution.

Answer

Project Plan

Answer

Risk Register

Question 7

What is the difference between a Request for Change and an Off-specification?

Accepted Answer

A Request for Change proposes a new requirement; an Off-specification identifies a failure to deliver a required product. A Request for Change (RFC) is a proposal to modify a product or add a new requirement, while an Off-specification (Off-spec) is a formal notification that a product does not meet its agreed specification. In PRINCE2, the RFC seeks to change the baseline, whereas the Off-spec identifies a deviation from the baseline that must be resolved.

Answer

A Request for Change is always approved; an Off-specification is always rejected

Answer

An Off-specification must be escalated to the Project Board; a Request for Change can be handled by the Change Authority

Answer

They are the same thing with different names

Question 8

Which TWO of the following are responsibilities of the Project Board?

Accepted Answer

Approve Stage Plans. The Project Board is responsible for approving Stage Plans (Option C) because it provides the necessary authority for the Project Manager to proceed with the next stage of work. This approval ensures that the project remains aligned with the business case and tolerances set by the board. The board also has a key responsibility to provide assurance (Option D) that the project is being managed correctly and that risks are being controlled, which is a core governance function in PRINCE2.

Answer

Design the Risk Management Approach

Answer

Produce Highlight Reports

Answer

Manage Work Packages

Question 9

Who is responsible for maintaining the Business Case throughout the project?

Accepted Answer

Project Manager. In PRINCE2, the Project Manager is responsible for maintaining the Business Case throughout the project. This includes updating the Business Case at each stage boundary and ensuring it remains viable in terms of business justification. The Project Manager works with the Executive and other stakeholders to keep the Business Case current, but the day-to-day maintenance is delegated to the Project Manager.

Answer

Senior User

Answer

Project Support

Answer

Executive (Senior Responsible Owner)

Question 10

What is the definition of quality in PRINCE2?

Accepted Answer

Fit for purpose. In PRINCE2, quality is defined as 'fit for purpose,' meaning the product must satisfy the user's stated or implied needs. This aligns with the PRINCE2 principle of continued business justification, ensuring the product delivers value. 'Conformance to specification' is a narrower, manufacturing-focused view that PRINCE2 explicitly rejects in favor of a broader, customer-centric definition.

Answer

Conformance to specification

Answer

Zero defects

Answer

As described in the Quality Register

Question 11

What is the purpose of the Quality Review technique?

Accepted Answer

To assess whether a product meets its quality criteria. The Quality Review technique in PRINCE2 is a structured assessment process that evaluates whether a product meets its predefined quality criteria. It involves a review meeting where the product's producer presents the product to a team of reviewers, who then identify any defects or deviations from the quality criteria. This ensures that the product is fit for purpose before it is formally approved.

Answer

To identify risks in the project

Answer

To approve changes to the project scope

Answer

To plan quality activities

Question 12

During the Controlling a Stage process, the Project Manager identifies that the project is forecast to exceed the agreed cost tolerance for the current stage. What should the Project Manager do?

Accepted Answer

Raise an Exception Report to the Project Board and await their direction before proceeding. In PRINCE2, when a Project Manager forecasts that stage tolerances will be exceeded, they must escalate the issue to the Project Board via an Exception Report. This triggers an Exception Plan process, allowing the Board to decide whether to approve revised tolerances or take corrective action. The Project Manager cannot proceed without direction, as tolerances are a delegated authority limit.

Answer

Close the project immediately as the Business Case is no longer viable

Answer

Continue with the current Stage Plan and report the cost overrun in the next Highlight Report

Answer

Increase the project budget to absorb the additional cost and continue with the current Stage Plan

Question 13

What is the purpose of the Risk Register?

Accepted Answer

To capture and track information about identified risks throughout the project. The Risk Register is a PRINCE2 management product that captures and tracks all identified risks throughout the project lifecycle. It records risk descriptions, probability, impact, proximity, and responses, ensuring risks are actively managed and monitored. This aligns with the PRINCE2 principle of continued business justification by maintaining visibility of threats and opportunities.

Answer

To approve risk budgets

Answer

To report progress to stakeholders

Answer

To record all decisions made by the Project Board

Question 14

What is the difference between a Request for Change (RFC) and an Off-specification?

Accepted Answer

An RFC seeks to change an approved baseline, while an Off-specification reports a failure to meet a specified requirement. In PRINCE2, a Request for Change (RFC) is a formal proposal to modify an approved baseline (e.g., a product description, plan, or scope), while an Off-specification is a notification that a product has failed to meet a specified requirement or acceptance criterion. The RFC seeks to change the baseline itself, whereas the Off-specification reports a deviation from the agreed specification that must be resolved, often via a concession or corrective action.

Answer

An RFC is a request for a new feature, while an Off-specification is a report of a defect

Answer

An RFC is used for threats, while an Off-specification is used for opportunities

Answer

An RFC is raised by the Project Board, while an Off-specification is raised by the Project Manager

Question 15

When is the Business Case formally reviewed and confirmed?

Accepted Answer

At the end of each management stage. The Business Case is developed in pre-project, approved at initiation, and reviewed at each stage boundary.

Answer

During the Closing a Project process

Answer

Only at the start of the project

Answer

Only when an exception occurs
