PRINCE2F Project Initiation and Stages Practice Test 3 — 15 Questions

Question 1

Which TWO are part of the Project Initiation Documentation?

Accepted Answer

Business Case. The Project Initiation Documentation (PID) is the PRINCE2 document that assembles the baseline for the project, and it explicitly includes the Business Case (option C), which justifies the project in terms of benefits, costs, risks, and timescales, and the Project Plan (option D), which describes how and when the project's objectives will be achieved. Both are core components of the PID, along with items such as the project definition, organization, controls, and risk approach. The Exception Report (option A) is a progress-control document produced only when a stage or project deviates from tolerance, so it is not part of the PID. The End Stage Report (option B) is produced at the end of a management stage to summarize performance and is not part of the PID. The Checkpoint Report (option E) is a regular progress report from a team manager to the project manager and likewise is not part of the PID.

Answer

Exception Report

Answer

End Stage Report

Answer

Checkpoint Report

Question 2

You are managing a construction project. During the Initiation Stage, you are developing the Project Plan. The senior supplier informs you that the required steel will be delayed by 3 months due to a global shortage. This delay will push the project completion beyond the board's deadline. The project has a fixed completion date due to regulatory requirements. The senior user is unwilling to accept a delay. You have identified that using an alternative material could save 2 months but would increase costs by 15%. The project budget has a 10% contingency. What is the most appropriate course of action?

Accepted Answer

Inform the board that the project cannot meet the deadline and request guidance. The project has a fixed completion date due to regulatory requirements, and the identified solution (alternative material) still results in a 1-month delay (3-month delay minus 2-month saving) and exceeds the 10% contingency (15% cost increase vs. 10% contingency). According to PRINCE2, when a stage plan or project plan cannot be achieved within agreed tolerances, the Project Manager must escalate the issue to the Project Board for a decision. The board is the only authority that can authorize a change to the project's scope, schedule, or budget beyond the delegated tolerances.

Answer

Reduce the project scope to meet the deadline

Answer

Switch to the alternative material and use the contingency to cover the cost increase

Answer

Accept the delay and update the Project Plan accordingly

Question 3

A project is in the Initiating a Project process. The project manager has drafted the project plan, but the project board requests that the project be broken into management stages. Which factor should primarily determine the number and length of management stages?

Accepted Answer

The points in the project where major risks and decisions are expected. In PRINCE2, management stages are defined by key decision points and major risks, not by arbitrary time intervals. The project board uses stage boundaries to reassess business justification, approve continued investment, and control exposure to risk. Therefore, the primary factor is where significant risks or decisions are anticipated, as this aligns with the PRINCE2 principle of managing by stages.

Answer

The project manager's preference for short stages to monitor progress

Answer

The availability of team members for each phase

Answer

The need to keep costs low by minimizing stage boundaries

Question 4

Which TWO statements about the Initiating a Project process are correct?

Accepted Answer

The business case is refined and approved by the project board. Option D is correct because Initiating a Project refines the outline Business Case into a full Business Case and submits it to the Project Board for approval as part of the PID. Option E is correct because the PID is assembled from the various baseline products (Business Case, Project Plan, benefits, risk, quality, change, communication approaches) and reviewed by the Project Board before authorizing the project. Option A is wrong because the Project Plan is created during Initiating a Project, not after it. Option B is wrong because the Project Board, not the Project Manager, authorizes the project to proceed. Option C is wrong because tailoring decisions are made during Initiating a Project (and captured in the PID), not after initiation.

Answer

The project plan is created after the Initiating a Project process

Answer

The project manager authorizes the project to proceed

Answer

The approach to tailoring PRINCE2 is decided after the project is initiated

Question 5

Drag and drop the steps to handle an issue in PRINCE2 into the correct order.

Accepted Answer

Capture, Examine, Propose options, Decide, Implement. The correct order for handling an issue in PRINCE2 is: Capture the issue, Examine it to understand its impact, Propose options to resolve it, Decide on the best option, and Implement the decision. This sequence ensures logical progression from identification to resolution.

Answer

Capture, Propose options, Examine, Decide, Implement

Answer

Capture, Examine, Decide, Propose options, Implement

Answer

Capture, Decide, Examine, Propose options, Implement

Question 6

Match each PRINCE2 process to its purpose.

Accepted Answer

Starting Up a Project: To ensure that the pre-requisites for initiating a project are in place.. In this matching question, only two pairs are correctly matched: A and B are accurate process-purpose pairings. Options C, D, and E contain incorrect pairings. The correct purpose for Initiating a Project is to establish solid foundations, not to monitor and control work. Controlling a Stage is for monitoring and controlling work of the stage, not authorizing work packages. Managing Product Delivery is for authorizing work packages and accepting completed products, not establishing foundations.

Answer

Initiating a Project: To monitor and control the work of the stage.

Answer

Controlling a Stage: To authorize work packages and accept completed products.

Answer

Managing Product Delivery: To establish solid foundations for the project.

Question 7

A project is in the Initiation Stage. The project manager has drafted the Project Initiation Documentation (PID) and needs the project board to authorize the project before the first delivery stage begins. Which PRINCE2 activity must be performed, and who holds the authority to approve the PID?

Accepted Answer

Directing a Project — the project board authorizes the project after confirming the PID is viable.. The project board is responsible for authorizing the project, which happens within the Directing a Project process after the PID is complete. The project manager produces the PID during Initiating a Project but cannot approve it. Managing a Stage Boundary and Starting up a Project serve different purposes, so they do not fit this authorization step.

Answer

Initiating a Project — the project manager authorizes the project after the PID is baselined.

Answer

Managing a Stage Boundary — the project board approves the PID at the end of the Initiation Stage.

Answer

Starting up a Project — the project manager approves the PID and informs the board.

Question 8

A project manager is preparing the Project Initiation Documentation (PID) for a new project. While reviewing the draft, the project board chair asks how the project will be controlled and how the project manager will escalate issues. Which section of the PID addresses this?

Accepted Answer

Project controls. The project controls section of the Project Initiation Documentation defines the mechanisms for controlling the project, including tolerance levels and escalation procedures. It is the appropriate place to describe how the project manager will escalate issues to the project board and how the project will be monitored and controlled. This directly answers the project board chair's question.

Answer

Business Case

Answer

Project management team structure

Answer

Project approach

Question 9

A project is halfway through the Initiation Stage. The project manager discovers that the project's risk exposure has increased significantly since the Project Brief was written, and the original Business Case no longer looks viable. What should the project manager do FIRST?

Accepted Answer

Escalate the issue to the Project Board by requesting an early end to the Initiation Stage, so the Board can decide whether to authorise the project.. When the Business Case becomes unviable, the Project Manager must escalate to the Project Board, which is responsible for authorising the project. Requesting an early end to the Initiation Stage enables the Board to decide whether to proceed, change, or stop the project based on updated information.

Answer

Revise the Project Brief to reflect the new risk exposure and continue with the Initiation Stage as planned.

Answer

Update the Business Case in the Project Initiation Documentation and continue with the stage, noting the increased risk in the Risk Register.

Answer

Ask the Project Assurance role to re-evaluate the risk exposure and provide a recommendation to the Project Manager.

Question 10

A project manager is preparing for the Initiation Stage. The Project Board has just approved the Project Brief. Which management product should the project manager use as the starting point for the Project Initiation Documentation?

Accepted Answer

The Project Brief. The Project Brief is the input to the Initiation Stage and provides the basis for developing the Project Initiation Documentation. It contains the initial project definition and outline Business Case, which are refined during initiation.

Answer

The End Stage Report

Answer

The Lessons Log

Answer

The Project Product Description

Question 11

A project manager is preparing the Project Initiation Documentation (PID) for a new project. The project board has approved the Project Brief, and the project is now in the Initiation Stage. The project manager needs to create the detailed business justification for the project. Which PRINCE2 principle requires that the project has continued business justification?

Accepted Answer

Continued business justification. The principle 'Continued business justification' is fundamental to PRINCE2 and requires that a project has a justifiable reason to begin and continue. During the Initiation Stage, the project manager develops the Business Case as part of the PID to provide that justification. This ensures the project remains aligned with organizational objectives and can be stopped if the justification is no longer valid.

Question 12

A project is in the Initiation Stage. The project manager is preparing the Project Initiation Documentation and needs to define the quality techniques and responsibilities that will be applied throughout the project. Which PRINCE2 component should be used to document this information?

Accepted Answer

Quality Management Strategy. The Quality Management Strategy is the correct component because it defines the quality techniques and responsibilities for the project. It is created during the Initiation Stage and forms part of the Project Initiation Documentation. It ensures a consistent approach to quality across all products and stages.

Question 13

A project manager is preparing the Project Initiation Documentation for a new project. The project board has requested that the document include a description of how the project will be controlled, including the reporting and escalation arrangements. Which component of the Project Initiation Documentation should contain this information?

Accepted Answer

Project Controls. The Project Initiation Documentation includes a Project Controls component that specifies how the project will be directed, managed, and delivered. It covers reporting, monitoring, and escalation, which are exactly the governance arrangements the project board requested. Other components like the Project Plan, Business Case, and Risk Management Strategy serve different purposes and do not describe the overall control framework.

Question 14

A project is in the Initiation Stage. The project manager is creating the Project Plan and needs to define the project's products and activities. Which PRINCE2 principle should guide the level of detail included in the plan?

Accepted Answer

Tailor to suit the project environment. The PRINCE2 principle 'Tailor to suit the project environment' guides the level of detail in plans. It requires adapting the method to the project's specific needs, so the Project Plan's detail should reflect the project's size, complexity, and risk.
