PRINCE2F PRINCE2 Processes Practice Test 8 — 15 Questions

Question 1

In the Closing a Project process, which document is produced to capture lessons learned for future projects?

Accepted Answer

Lessons Report. In PRINCE2, the Closing a Project process includes the activity 'Prepare planned closure' and 'Prepare premature closure', where lessons learned are captured and documented in the Lessons Report. This report is then passed to the project board and made available to the organization for future projects.

Answer

Project Product Description

Answer

End Project Report

Answer

Benefits Management Approach

Question 2

Which TWO of the following are true about the relationship between Controlling a Stage (CS) and Managing Product Delivery (MP)?

Accepted Answer

CS authorizes Work Packages; MP executes them. CS is the PM's process for managing the stage; MP is the Team Manager's process for delivering Work Packages. The PM authorizes Work Packages in CS, and the Team Manager delivers them in MP.

Answer

CS is performed by the Team Manager; MP is performed by the Project Manager

Answer

Both processes involve escalating issues directly to the Project Board

Answer

CS produces Checkpoint Reports; MP produces Highlight Reports

Question 3

In PRINCE2, who is responsible for updating the Business Case during the project?

Accepted Answer

The Executive. The Executive is the single individual responsible for the Business Case throughout the project in PRINCE2. They own the Business Case and must ensure it remains viable, justified, and aligned with organizational strategy, approving any changes to it. The Project Manager only maintains the Business Case document but does not have authority to update its justification or approve changes.

Answer

The Project Manager

Answer

The Senior Supplier

Answer

The Senior User

Question 4

Which TWO of the following are outputs of the Initiating a Project process?

Accepted Answer

Benefits Management Approach. The PID and the Benefits Management Approach are key outputs of IP. The Daily Log is created in SU. The End Project Report is from CP.

Answer

Exception Report

Answer

End Project Report

Answer

Daily Log

Question 5

A Project Manager is in the Managing a Stage Boundary process and has produced the End Stage Report. The project is forecasting to exceed the project-level cost tolerance. What must the PM include in the next Stage Plan?

Accepted Answer

An Exception Plan that outlines the corrective actions and revised tolerances. In PRINCE2, when a stage forecast shows the project will breach project-level tolerances, the Project Manager must produce an Exception Plan rather than a normal Stage Plan. The Exception Plan is prepared during the Managing a Stage Boundary process and is presented to the Project Board for approval, detailing the corrective actions needed to bring the project back within tolerance (or proposing revised tolerances). It replaces the Stage Plan for the affected stage and is triggered specifically by the forecast of exceeding a tolerance.

Answer

No Stage Plan; the project must be escalated immediately

Answer

A request to close the project

Answer

A normal Stage Plan, but with additional cost contingencies

Question 6

What is the purpose of the Starting Up a Project process?

Accepted Answer

To confirm that the project is viable and worthwhile before committing to detailed planning. The Starting Up a Project (SU) process is the first process in PRINCE2 and exists to answer the question 'Do we have a viable and worthwhile project?' before any significant resources are committed. It produces the Project Brief (including the Business Case outline, Project Product Description, and Project Approach) and the Daily Log, and it appoints the Project Board and Project Manager. Its output feeds directly into the Initiating a Project process, which then produces the full PID. Therefore, option B correctly captures its purpose as a pre-project viability check.

Answer

To manage the day-to-day activities of the project

Answer

To close the project in a controlled manner

Answer

To produce the Project Initiation Documentation

Question 7

Which document is the key output of the Initiating a Project process?

Accepted Answer

Project Initiation Documentation. The Initiating a Project process is responsible for establishing a solid foundation for the project, and its key output is the Project Initiation Documentation (PID). The PID consolidates all the planning and analysis work into a single, controlled document that defines the project's scope, business justification, risks, and management controls. This document is used to obtain authorization to proceed with the project's delivery stages.

Answer

End Stage Report

Answer

Project Brief

Answer

Exception Report

Question 8

Which process is responsible for appointing the Executive and the Project Manager?

Accepted Answer

Starting Up a Project. The Starting Up a Project process is responsible for appointing the Executive and the Project Manager because it occurs before the project is formally initiated. During this process, the project mandate is reviewed, and key roles are assigned to ensure the project has the necessary leadership to proceed to the initiation stage. This is defined in PRINCE2 as the point where the project board is established and the Project Manager is selected.

Answer

Controlling a Stage

Answer

Directing a Project

Answer

Initiating a Project

Question 9

In the Directing a Project process, who has the authority to authorize an exception plan that exceeds the project's stage tolerance but remains within project tolerance?

Accepted Answer

Project Board. In PRINCE2, the Project Board is the authority that can authorize an Exception Plan when a stage's tolerance is forecast to be exceeded but the deviation remains within the overall project tolerance. The Project Manager escalates the issue via an Exception Report, and the Project Board decides whether to approve the Exception Plan. This keeps the Project Manager within delegated authority while ensuring higher-level oversight for significant deviations.

Answer

Project Manager

Answer

Senior Responsible Owner (Executive)

Answer

Team Manager

Question 10

What is the key output of the Initiating a Project process?

Accepted Answer

Project Initiation Documentation. The Initiating a Project process is where the project's scope, objectives, and approach are fully defined and documented. Its key output is the Project Initiation Documentation (PID), which consolidates all the baseline plans and strategies needed to justify and manage the project. The PID replaces the Project Brief, which is created earlier in the Starting Up a Project process.

Answer

Project Brief

Answer

Checkpoint Report

Answer

End Stage Report

Question 11

What is the purpose of the Managing Product Delivery process?

Accepted Answer

To ensure that the project's products are created and delivered to quality standards. The Managing Product Delivery process is designed to control the link between the Project Manager and the Team Manager(s) by ensuring that work on products is authorized, executed, and delivered according to the agreed quality criteria and acceptance requirements. Its primary purpose is to create and deliver the project's products to the specified quality standards, as defined in the Product Description and Work Package.

Answer

To manage the day-to-day work of the Project Manager

Answer

To plan the next stage in detail

Answer

To provide direction and control to the Project Board

Question 12

During the Closing a Project process, which document is produced to capture lessons for future projects?

Accepted Answer

Lessons Report. The Lessons Report is the specific PRINCE2 management product produced during the Closing a Project process to capture lessons learned throughout the project so they can be passed on to future projects and the wider organization. It is derived from the Lessons Log and reviewed at project closure to ensure knowledge transfer. The End Project Report summarizes project performance but is not the dedicated vehicle for lessons.

Answer

Project Product Description

Answer

Benefits Management Approach

Answer

End Project Report

Question 13

What is the purpose of the Managing a Stage Boundary process?

Accepted Answer

To enable the Project Board to review the current stage and approve the next stage plan. The Managing a Stage Boundary process is performed at the end of each stage to enable the Project Board to review the current stage's performance and approve the next stage plan. Option B is incorrect because the Project Plan is produced during the Initiating a Project process. Option C is incorrect because day-to-day management is handled by the Managing Product Delivery process. Option D is incorrect because project closure is handled by the Closing a Project process.

Answer

To produce the Project Plan for the first time

Answer

To manage the day-to-day activities of the stage

Answer

To close the project

Question 14

What is the key difference between the Starting Up a Project (SU) and Initiating a Project (IP) processes?

Accepted Answer

SU is done before the project is formally initiated; IP establishes the project's foundations. The Starting Up a Project (SU) process occurs before the project is formally initiated, focusing on verifying the project's viability and creating the Project Brief. The Initiating a Project (IP) process then establishes the project's foundations by creating the Project Initiation Documentation (PID), which includes detailed plans and controls. Thus, the key difference is that SU is a pre-initiation process, while IP formally establishes the project's management foundation.

Answer

SU involves the Project Board; IP involves the Project Manager only

Answer

SU is optional; IP is mandatory

Answer

SU produces the PID; IP produces the Project Brief

Question 15

Which TWO of the following are outputs of the Managing a Stage Boundary process?

Accepted Answer

Stage Plan for the next stage. In PRINCE2, the Managing a Stage Boundary process is triggered at the end of each stage (except the final one) to prepare for the next stage and to report on the current stage's performance. Option C (Stage Plan for the next stage) is correct because one of the process's key outputs is a Stage Plan for the forthcoming stage, produced via the Authorize a Stage activity, which the Project Board then reviews and approves. Option D (End Stage Report) is also correct because the Managing a Stage Boundary process produces an End Stage Report summarizing the stage's performance against its plan, which the Project Board uses to decide whether to authorize the next stage. Option A (Project Brief) is not an output of this process; it is produced during Starting up a Project. Option B (Checkpoint Report) is not correct because Checkpoint Reports are outputs of Managing Product Delivery, produced by the Team Manager during a stage. Option E (Lessons Log) is not correct because the Lessons Log is created during Starting up a Project and updated throughout the project, not specifically produced as an output of Managing a Stage Boundary.

Answer

Project Brief

Answer

Checkpoint Report

Answer

Lessons Log
