PRINCE2F PRINCE2 Processes Practice Test 19 — 15 Questions

Question 1

Which process includes the activity 'Authorize Work Packages'?

Accepted Answer

Controlling a Stage. The 'Authorize Work Packages' activity is part of the 'Controlling a Stage' process because this process is where the Project Manager assigns work to teams, agrees on the work package details, and ensures the team manager understands the requirements. This activity is not part of Managing Product Delivery, which focuses on the team manager's acceptance and execution of work packages, nor is it part of Directing a Project or Initiating a Project, which operate at higher or earlier levels.

Answer

Managing Product Delivery

Answer

Directing a Project

Answer

Initiating a Project

Question 2

Which THREE of the following are activities performed in the Controlling a Stage process?

Accepted Answer

Report highlights to the Project Board. Option A (Report highlights to the Project Board) is correct because Controlling a Stage includes the activity 'Report Highlights', where the Project Manager produces Highlight Reports to keep the Project Board informed of progress, issues, and risks during the stage. Option D (Authorize Work Packages) is correct because 'Authorize a Work Package' is a core activity of Controlling a Stage, where the Project Manager agrees and authorizes work packages with the Team Manager. Option E (Review progress and update the stage plan) is correct because 'Review the Stage Status' and 'Take Corrective Action' involve reviewing progress against the stage plan and updating it as needed. Option B (Produce End Stage Report) is not correct because producing the End Stage Report is part of the Managing a Stage Boundary process, not Controlling a Stage. Option C (Deliver work packages) is not correct because delivering work packages is performed by the Team Manager in the Managing Product Delivery process, not by the Project Manager in Controlling a Stage.

Answer

Produce End Stage Report

Answer

Deliver work packages

Question 3

According to PRINCE2, which process is responsible for ensuring that the project has a clear and agreed start before any substantial work is undertaken?

Accepted Answer

Starting Up a Project. In PRINCE2, 'Starting Up a Project' (SU) is the pre-project process that ensures the project has a clear and agreed start before any substantial work is undertaken. It produces the Project Brief, appoints the Project Board and Project Manager, and captures the lessons log and project approach, culminating in the 'Authorize Initiation' decision by the Project Board. Only after this authorization does the project move into Initiating a Project.

Answer

Initiating a Project

Answer

Directing a Project

Answer

Controlling a Stage

Question 4

During the Controlling a Stage process, the Project Manager receives a Checkpoint Report. Who prepared this report?

Accepted Answer

Team Manager. In PRINCE2, the Checkpoint Report is a progress report prepared by the Team Manager on behalf of the team. It provides the Project Manager with a snapshot of the work completed, planned, and any issues or risks within a work package. The Project Manager uses this report during the Controlling a Stage process to monitor progress and make informed decisions.

Answer

Project Manager

Answer

Project Board

Answer

Project Support

Question 5

Which process is the Project Board primarily responsible for, according to PRINCE2?

Accepted Answer

Directing a Project. The Project Board is primarily responsible for the 'Directing a Project' process, which covers the overall management and decision-making from project initiation through closure. This process includes authorizing the project, providing key decisions, and ensuring that the project remains viable and aligned with business objectives. The Board does not execute day-to-day management or delivery tasks, which belong to other roles.

Answer

Managing Product Delivery

Answer

Controlling a Stage

Answer

Managing a Stage Boundary

Question 6

The Project Manager has produced an End Stage Report for the current stage. According to PRINCE2, what is the next step?

Accepted Answer

Submit the report to the Project Board for a decision on whether to proceed. In PRINCE2, the End Stage Report is produced by the Project Manager to provide the Project Board with a summary of the stage's performance. The next step is to submit this report to the Project Board, which then decides whether to authorize the next stage, amend the project, or stop the project. Option D correctly reflects this governance checkpoint, as the Project Board holds the authority to approve continued investment.

Answer

Update the Business Case and close the project

Answer

Distribute the report to stakeholders and continue to the next stage

Answer

Seek approval from the Executive to continue

Question 7

What is the purpose of the Closing a Project process?

Accepted Answer

To ensure that the project's products are accepted and the project is closed in a controlled way. Closing a Project ensures controlled closure: hand over products, confirm benefits review arrangements, produce End Project Report and Lessons Report, and release resources. Planning next stage is SB. PID is from IP. Day-to-day management is CS.

Answer

To plan the next stage of the project

Answer

To manage day-to-day work within a stage

Answer

To create the Project Initiation Documentation

Question 8

During which process are Work Packages authorised by the Project Manager?

Accepted Answer

Controlling a Stage. Work Packages are authorized by the Project Manager within the Controlling a Stage process. In this process, the Project Manager assigns work to the Team Manager by creating and authorizing Work Packages, which include the required products, constraints, and reporting requirements. This is a core activity of Controlling a Stage.

Answer

Directing a Project

Answer

Managing a Stage Boundary

Answer

Managing Product Delivery

Question 9

Who is responsible for producing the Lessons Report at the end of the project?

Accepted Answer

Project Manager. The Project Manager is responsible for producing the Lessons Report at the end of the project. This is because the Project Manager owns the day-to-day management of the project and is best positioned to capture and document lessons learned from the project's execution, ensuring that knowledge is transferred for future projects.

Answer

Project Support

Answer

Project Board

Answer

Senior User

Question 10

Which process is the first to be executed in a PRINCE2 project?

Accepted Answer

Starting Up a Project. The Starting Up a Project process is the first process executed in a PRINCE2 project. It is triggered by the project mandate and ensures that the project has a viable business justification, an outline business case, and a project brief before any detailed planning or execution begins. This process provides the necessary pre-project activities to determine if the project is worthwhile and to appoint the Executive and Project Manager.

Answer

Initiating a Project

Answer

Controlling a Stage

Answer

Directing a Project

Question 11

The Project Board has received an Exception Report from the Project Manager. What is the Project Board's next step?

Accepted Answer

Request an Exception Plan to assess options. When the Project Board receives an Exception Report, they typically request an Exception Plan to evaluate options. They then decide whether to approve the plan, which may involve changes to the project. A new Project Plan may be part of the Exception Plan, but the immediate step is to request the plan.

Answer

Approve the Exception Report

Answer

Request a new Project Plan

Answer

Close the project

Question 12

What is the primary difference between Managing Product Delivery and Controlling a Stage?

Accepted Answer

Managing Product Delivery focuses on the Team Manager delivering Work Packages; Controlling a Stage focuses on the Project Manager's day-to-day management. Managing Product Delivery is the process where the Team Manager accepts, executes, and delivers Work Packages, while Controlling a Stage is the Project Manager's process for day-to-day monitoring and control of the stage. The two processes operate at different levels and with different role ownership, which is the core distinction the question tests.

Answer

Managing Product Delivery produces the Highlight Report

Answer

Managing Product Delivery is only used in the Initiating a Project process

Answer

Managing Product Delivery is the Project Manager's process; Controlling a Stage is the Team Manager's process

Question 13

Which TWO of the following are outputs of the Starting Up a Project process?

Accepted Answer

Project Brief. Option A (Project Brief) is correct because Starting Up a Project (SU) creates the Project Brief as its primary output, capturing the project's outline business case, scope, objectives, and tolerances to feed into Initiating a Project. Option D (Daily Log) is correct because SU also establishes the Daily Log, which the Project Manager uses to record informal issues, actions, and notes throughout the project. Option B (Benefits Management Approach) is not correct because it is produced during Initiating a Project (IP), not SU. Option C (Project Initiation Documentation) is not correct because the PID is assembled in the Initiating a Project process. Option E (End Stage Report) is not correct because it is created in the Managing a Stage Boundary process at the end of a stage.

Answer

Benefits Management Approach

Answer

Project Initiation Documentation

Answer

End Stage Report

Question 14

Which THREE of the following are activities performed during the Directing a Project process?

Accepted Answer

Authorise a Stage Plan or Exception Plan. In PRINCE2, the Directing a Project (DP) process is the responsibility of the Project Board and includes the activity 'Authorise initiation' (D), where the Board approves the Project Brief and the initiation stage can begin. It also includes 'Authorise the project' (E), where the Board approves the Project Initiation Documentation and commits to the project. A third DP activity is 'Authorise a Stage Plan or Exception Plan' (C), where the Board approves the next stage plan or an exception plan before work continues. Option A (Authorise a Work Package) is performed by the Project Manager in the Controlling a Stage process, and option B (Produce the Highlight Report) is also a Project Manager activity in Controlling a Stage, so neither belongs to Directing a Project.

Answer

Authorise a Work Package

Answer

Produce the Highlight Report

Question 15

Who is responsible for producing the Highlight Report during the Controlling a Stage process?

Accepted Answer

Project Manager. The Project Manager is responsible for producing the Highlight Report during the Controlling a Stage process because this report provides the Project Board with a summary of the stage's progress, including achievements, next steps, and any issues or risks. PRINCE2 explicitly assigns this responsibility to the Project Manager to ensure the board receives timely and accurate information for decision-making.

Answer

Project Board
