PRINCE2F Overview of PRINCE2 and the project environment Practice Test 10 — 15 Questions

Question 1

Which THREE of the following are benefits of adopting PRINCE2?

Accepted Answer

Provides a common language for all stakeholders. Option C is correct because PRINCE2 supplies a shared vocabulary and defined roles, processes, and management products (such as the Project Initiation Documentation and Highlight Reports) that give all stakeholders a common language for discussing and governing the project. Option D is correct because PRINCE2's change control approach, together with the issue and change control procedure and the configuration management strategy, provides controlled management of change rather than ad hoc handling. Option E is correct because PRINCE2's defined roles (Project Board, Project Manager, Team Manager) and regular management products such as Checkpoint, Highlight, and End Stage Reports create structured, planned communication between the team and management. Option A is wrong because no method can eliminate all project risks; PRINCE2 only provides a risk management approach to identify, assess, and control them. Option B is wrong because PRINCE2 is a governance and management framework, not a schedule accelerator, and it does not guarantee faster delivery.

Answer

Eliminates all project risks

Answer

Guarantees faster project delivery

Question 2

What is the purpose of the PRINCE2 principle 'Continued business justification'?

Accepted Answer

To ensure that the project remains viable by regularly reviewing the Business Case. The 'Continued business justification' principle requires that every PRINCE2 project has a valid, documented Business Case that is reviewed and re-validated at every stage boundary and at each End Stage Assessment. If the justification no longer holds (e.g., costs outweigh benefits, risks become unacceptable), the project must be stopped or re-scoped. This is why option A correctly ties the principle to regular Business Case review to keep the project viable.

Answer

To assign roles and responsibilities to the project team

Answer

To ensure that the project delivers products on time and within budget

Answer

To define the project's scope and objectives

Question 3

In PRINCE2, who is responsible for ensuring that the project remains viable and for approving major changes to the project's scope?

Accepted Answer

Executive. The Executive (Senior Responsible Owner) is accountable for the project's business justification and for approving major changes.

Answer

Senior Supplier

Answer

Project Manager

Answer

Senior User

Question 4

During the Managing a Stage Boundary process, the Project Manager produces a revised Stage Plan for the next stage. What else must be produced as part of this process?

Accepted Answer

End Stage Report. During the Managing a Stage Boundary process, the Project Manager must produce an End Stage Report to summarize the current stage's performance against its plan, along with the revised Stage Plan for the next stage. The End Stage Report provides the Project Board with the information needed to assess whether to authorize the next stage, as defined in PRINCE2's process model.

Answer

End Project Report

Answer

Highlight Report

Answer

Exception Report

Question 5

What is the difference between a Request for Change and an Off-specification in PRINCE2?

Accepted Answer

A Request for Change proposes a change to a product; an Off-specification indicates that a product does not meet its specification. In PRINCE2, a Request for Change (RFC) is a formal proposal to change a product's specification, baseline, or agreed-upon configuration, while an Off-specification is a notification that a product does not meet its agreed specification or that a planned product cannot be delivered as defined. The RFC seeks approval for a change, whereas the Off-specification reports a deviation that has already occurred or is inevitable.

Answer

A Request for Change is raised by the Project Manager; an Off-specification is raised by the Team Manager

Answer

A Request for Change is always urgent; an Off-specification is not

Answer

There is no difference; they are synonymous

Question 6

In PRINCE2, which role is responsible for providing an independent view of the project's progress and adherence to standards?

Accepted Answer

Project Assurance. Project Assurance provides an independent check on the project's progress and compliance, reporting to the Project Board.

Answer

Project Support

Answer

Project Manager

Answer

Senior User

Question 7

A project to develop a new software application has completed its first stage. The Project Manager is preparing the End Stage Report. What is the primary purpose of this report?

Accepted Answer

To request authorization for the next stage and give a summary of the current stage's performance. The End Stage Report in PRINCE2 serves a dual purpose: it summarizes the current stage's performance against the plan and requests authorization to proceed to the next stage. This aligns with the PRINCE2 principle of managing by stages, where each stage ends with a formal review and decision point. The report provides the Project Board with the necessary information to approve continued investment.

Answer

To document lessons learned for future projects

Answer

To highlight any deviations from the project plan

Answer

To update the Business Case based on actual costs

Question 8

What is the PRINCE2 definition of a 'project'?

Accepted Answer

A temporary organization created to deliver one or more business products according to an agreed Business Case. PRINCE2 defines a project as a temporary organization created to deliver one or more business products according to an agreed Business Case. This definition emphasizes the temporary nature of a project, its focus on delivering outputs (products), and the necessity of a justified business case to authorize and guide the work.

Answer

A set of activities that are repeated regularly to produce the same output

Answer

A document that outlines how to achieve a specific objective

Answer

A permanent team that delivers ongoing business operations

Question 9

In PRINCE2, what is the purpose of the 'Directing a Project' process?

Accepted Answer

To enable the Project Board to make key decisions and exercise overall control. The 'Directing a Project' process in PRINCE2 is designed for the Project Board, not the project manager or team. Its purpose is to empower the Board to make key decisions (e.g., stage boundary approvals, exception plans) and exercise overall control from project initiation through closure, ensuring governance without involvement in day-to-day management.

Answer

To plan and schedule the next stage

Answer

To manage the day-to-day activities of the project team

Answer

To create the project's products

Question 10

Which TWO of the following are characteristics of a project as defined by PRINCE2?

Accepted Answer

It delivers unique products. Option A is correct because PRINCE2 defines a project as a temporary organization created for the purpose of delivering one or more business products according to an agreed Business Case, and those products are by definition unique rather than routine outputs. Option C is correct because PRINCE2 explicitly characterizes a project as temporary, meaning it has a defined start and a defined end, after which the team is disbanded. Option B is incorrect because delivering business as usual describes ongoing operational work, which PRINCE2 contrasts with the temporary, unique nature of a project. Option D is incorrect because a project must have a defined end date; lacking one contradicts the temporary characteristic. Option E is incorrect because a project team is assembled for the duration of the project and is not permanent, unlike an operational or functional team.

Answer

It delivers business as usual

Answer

It has no defined end date

Answer

It involves a permanent team

Question 11

Which THREE of the following are integrated elements of the PRINCE2 methodology?

Accepted Answer

Practices. PRINCE2 is built on four integrated elements, and three of them are listed here: Principles (E), which are the seven universal, mandatory guiding obligations such as continued business justification and manage by exception; Processes (B), which are the seven activity-based stages from Starting up a Project through Closing a Project that describe what must be done; and Practices (A), the seven themes (e.g., Business Case, Organization, Plans, Risk, Quality, Change, Progress) that are applied continuously throughout the processes. These three, together with the fourth element (Tailoring to the project environment), form the integrated framework that makes PRINCE2 adaptable and scalable. Roles (C) is not a separate integrated element — organizational responsibilities are covered within the Organization practice, not as a standalone element. Templates (D) is also not an integrated element; PRINCE2 provides product descriptions and example management products, but templates are optional supporting tools rather than a core element of the methodology.

Answer

Roles

Answer

Templates

Question 12

What is the definition of a project according to PRINCE2?

Accepted Answer

A temporary organization created to deliver one or more business products according to an agreed Business Case. PRINCE2 explicitly defines a project as 'a temporary organization that is created for the purpose of delivering one or more business products according to an agreed Business Case.' This definition emphasizes the temporary nature, the focus on outputs (business products), and the governance through a Business Case, which justifies the project's initiation and continuation.

Answer

A permanent structure to manage ongoing operations

Answer

A temporary organization that delivers a defined output

Answer

A permanent organization that produces repetitive outputs

Question 13

A project is in the Initiating a Project process. Which document describes the products to be delivered and the resources required to deliver them?

Accepted Answer

Project Plan. The Project Plan in PRINCE2 describes the products to be delivered by the project and the resources required to deliver them. It is created during Initiating a Project and provides the baseline for progress monitoring.

Answer

Business Case

Answer

Stage Plan

Answer

Project Initiation Documentation

Question 14

Which of the following distinguishes a Highlight Report from a Checkpoint Report?

Accepted Answer

The Highlight Report is sent to the Project Board, while the Checkpoint Report is sent to the Project Manager. In PRINCE2, the Highlight Report is a formal report from the Project Manager to the Project Board, providing a summary of progress, risks, and issues at predefined intervals during a stage. The Checkpoint Report is produced by the Team Manager for the Project Manager, detailing progress against the Work Package. This distinction in audience and purpose is a core PRINCE2 principle.

Answer

The Checkpoint Report is produced by the Project Manager, while the Highlight Report is produced by the Team Manager

Answer

The Highlight Report is produced at the end of each stage, while the Checkpoint Report is produced monthly

Answer

The Highlight Report includes a summary of risks, while the Checkpoint Report does not

Question 15

In PRINCE2, what is the difference between a Request for Change and an Off-specification?

Accepted Answer

A Request for Change is a proposal for a change to a product that has been agreed, while an Off-specification is a product that does not meet its specification. In PRINCE2, a Request for Change (RFC) is a proposal to change a product that has already been baselined or agreed, while an Off-specification describes a product that currently does not meet its agreed specification. Both are types of Issue, but they capture different situations: RFCs are proactive change requests, and Off-specifications are reactive statements of non-conformance. Option A captures this distinction precisely.

Answer

An Off-specification is a type of issue, while a Request for Change is not

Answer

A Request for Change is a change to the scope, while an Off-specification is a change to the plan

Answer

An Off-specification does not require a change budget, while a Request for Change does
