CIS-HR Lifecycle Events And Journeys Practice Test 5 — 15 Questions

Question 1

Where are 'Activity Field Mappings' created?

Accepted Answer

Activity Definition record. Activity Field Mappings are created directly on the Activity Definition record. This mapping defines which fields on the source record (e.g., HR Case) are copied to the target record (e.g., HR Task) when the activity is executed. The Activity Definition record serves as the template for the activity, so field mappings are configured there to ensure consistency across all instances of that activity.

Answer

Lifecycle Event record

Answer

HR Task record

Answer

Activity Set record

Question 2

What does the 'Execution Order' field in an Activity Definition do?

Accepted Answer

Controls order of activities within a set. The 'Execution Order' field on an Activity Definition controls the sequence in which activities within an activity set are executed. Lower numbers run first, allowing administrators to define a deterministic order for tasks such as 'Complete I-9' before 'Issue Badge'. It does not control which activity set fires or when a case closes.

Answer

Defines the audience hierarchy

Answer

Determines which activity set fires first

Answer

Determines when the case closes

Question 3

What is the main advantage of using Lifecycle Events?

Accepted Answer

Standardizes cross-departmental workflows. The main advantage of using Lifecycle Events (LE) in ServiceNow HR is that it standardizes cross-departmental workflows. LE allows HR to orchestrate complex, multi-step processes that span multiple departments (e.g., IT, Facilities, Payroll, Legal) by defining a single lifecycle event with activity sets and activities for each department. This standardization ensures consistency, reduces manual coordination, and provides a unified view of the entire process.

Answer

Only for onboarding

Answer

Simplifies single-task requests

Answer

Replaces all standard HR cases

Question 4

When mapping fields, what does the 'Source' field denote?

Accepted Answer

The origin of the data. In field mapping configuration, the 'Source' field identifies where the data originates — the source table, field, or variable that supplies the value to be mapped. It is the counterpart to the 'Target' or destination field, which receives the value. So 'Source' denotes the origin of the data being pulled into the mapping.

Answer

The activity set name

Answer

The destination field on the task

Answer

The system user

Question 5

What is the effect of setting 'Show to Subject Person' on an activity?

Accepted Answer

Allows the subject to see it in the portal. The 'Show to Subject Person' option on an activity controls whether the activity is visible to the subject person (the employee the HR case is about) in the Employee Center portal. When enabled, the subject can see the activity details, such as comments or updates, in their portal view.

Answer

Allows the manager to see it

Answer

Hides the task from agents

Answer

Automatically completes the task

Question 6

If a Lifecycle Event has an 'Activity Set' that is set to 'Trigger: Manual', how is it initiated?

Accepted Answer

By the HR Agent via the UI. When an Activity Set in a Lifecycle Event is configured with 'Trigger: Manual', it means the activities within that set are not automatically launched by the system. Instead, an HR Agent must manually initiate the activity set from the user interface, typically by clicking a button or link on the HR case or lifecycle event record. This gives the agent control over when the activities are generated, allowing for human judgment or timing considerations.

Answer

Via a business rule

Answer

Automatically by system

Answer

When the case is closed

Question 7

Which component is responsible for orchestrating the overall lifecycle process?

Accepted Answer

Lifecycle Event Engine. The Lifecycle Event Engine is the core component in ServiceNow that orchestrates the overall lifecycle process. It listens for lifecycle events (such as user onboarding, offboarding, or transfers) and triggers the appropriate sequence of activities, including tasks, approvals, and notifications. Unlike other automation tools, it is specifically designed to manage the end-to-end lifecycle state transitions and ensure that all dependent processes are executed in the correct order.

Answer

Business Rule engine

Answer

Flow Designer

Answer

Workflow Editor

Question 8

What is the purpose of the 'Activity Type' in an activity definition?

Accepted Answer

To define the activity generation logic. The 'Activity Type' on an activity definition determines the logic used to generate the activity — for example, whether it is created as a one-time task, a recurring activity, or generated based on a schedule or condition. It drives the underlying generation behavior rather than triggering or prioritizing the activity.

Answer

To define the trigger

Answer

To determine the priority

Answer

To limit audience

Question 9

Where do you go to define the 'Lifecycle Event' itself (the parent object)?

Accepted Answer

Lifecycle Events > Lifecycle Events. To define the Lifecycle Event itself (the parent object), you navigate to Lifecycle Events > Lifecycle Events in the ServiceNow HR application menu. This module lists all Lifecycle Event records and allows you to create and configure the parent object that orchestrates the entire lifecycle process.

Answer

Activity Builder

Answer

HR Case Template

Answer

Task Configuration

Question 10

If an Activity Set trigger condition uses a 'Date' field, how does it handle time zones?

Accepted Answer

It uses the system time zone. Activity Set trigger conditions that evaluate a 'Date' field are evaluated against the system time zone, not the user's local time zone or UTC. This ensures consistent, deterministic trigger execution regardless of which user or session initiated the activity, since Activity Sets run in a background/system context. The system time zone is configured at the instance level and governs all date-based condition evaluation.

Answer

It ignores time zones

Answer

It uses the user's browser time zone

Answer

It always uses UTC

Question 11

Which object acts as the 'Container' for individual HR tasks?

Accepted Answer

Activity Set. An Activity Set is the container record that groups individual HR Tasks (and other activities like approvals, notifications, and email activities) that must be completed as part of a Lifecycle Event. When a Lifecycle Event is triggered, ServiceNow creates one or more Activity Sets, and each Activity Set holds the ordered list of HR Tasks that the HR agent or employee must complete. The HR Task itself is the individual unit of work; the Activity Set is the parent that orchestrates them.

Answer

HR Task Template

Answer

Lifecycle Event Definition

Answer

HR Case

Question 12

If a user is promoted, and a Lifecycle Event is triggered, how do you handle the change in 'Department' on the user record?

Accepted Answer

Use HR Service field mapping. HR Service field mapping defines how Lifecycle Event activities write data back to the user (sys_user) record. When a promotion triggers a Lifecycle Event, the HR Service's field mappings specify that the new Department value from the case should update the user's Department field. This is the declarative, supported way to handle record changes.

Answer

Manually edit the profile

Answer

Use Trigger condition

Answer

Update the activity set

Question 13

What is the benefit of using 'Audience' in Lifecycle Events?

Accepted Answer

To provide personalized experiences. Using Audience in Lifecycle Events allows you to target specific activities or sets to specific groups of users, providing personalized experiences. For example, new hires in different departments can see different onboarding tasks. This personalization is the primary benefit.

Answer

To speed up the trigger engine

Answer

To replace roles

Answer

To simplify the LE definition

Question 14

Which module contains the 'Activity Definition' configurations?

Accepted Answer

Lifecycle Event Administration > Activities. The 'Activity Definition' configurations are found under Lifecycle Event Administration > Activities. This module is specifically designed to manage the activities that are part of lifecycle events, such as onboarding and offboarding. Activity definitions define the tasks, approvals, and other actions that occur during a lifecycle event.

Answer

Case Management > Definitions

Answer

Workflow > Activities

Answer

HR Administration > Tasks

Question 15

Can a Lifecycle Event trigger another Lifecycle Event?

Accepted Answer

No, not supported. Lifecycle Events in ServiceNow HR cannot directly trigger another Lifecycle Event — the platform does not support event-to-event chaining. Instead, the downstream work is modeled as activities within the same event, or as a separate event triggered by an external mechanism such as a scheduled job or business rule.

Answer

Yes, by calling the API

Answer

Yes, directly in the UI

Answer

Yes, via Activity Set
