PRINCE2F PRINCE2 Practices Practice Test 3 — 15 Questions

Question 1

In PRINCE2, what is the definition of quality?

Accepted Answer

Fit for purpose. In PRINCE2, quality is defined as 'fit for purpose,' meaning the product must meet the stated user needs and expectations. This definition aligns with the PRINCE2 principle of continued business justification, ensuring the product delivers value. It is broader than mere conformance to specification, as it considers the product's usability and effectiveness in its intended environment.

Answer

Excellence of the product

Answer

Conformance to specification

Answer

Zero defects

Question 2

In PRINCE2, what is the difference between a risk owner and a risk actionee?

Accepted Answer

The risk owner is responsible for managing the risk; the risk actionee performs the agreed response actions. The risk owner is accountable for managing the risk, while the risk actionee carries out specific actions.

Answer

The risk owner identifies the risk; the risk actionee implements the response

Answer

The risk owner monitors the risk; the risk actionee updates the risk register

Answer

There is no difference; the terms are synonymous

Question 3

Which THREE of the following are responsibilities of the Project Board?

Accepted Answer

Providing overall direction and control of the project. The Project Board is the project's ultimate decision-making authority, so option A is correct because providing overall direction and control of the project is its core accountability in PRINCE2. Option B is correct because the Project Board approves the Project Plan and any Exception Plans, which are the key baselines and recovery plans authorizing the project's scope, cost, and time. Option C is correct because the Project Board authorizes deviations from stage tolerances; when a stage is forecast to exceed its tolerances, the Project Manager escalates and the Board decides whether to grant an exception. Option D is not a Board responsibility because maintaining the configuration management plan is a Project Manager (or configuration librarian) task, and option E is not a Board responsibility because reviewing the detailed quality of each product is performed by quality reviewers and the Project Manager, not the Board.

Answer

Maintaining the configuration management plan

Answer

Reviewing the detailed quality of each product

Question 4

A project is forecast to exceed its cost tolerance. What should the Project Manager do first?

Accepted Answer

Raise an Exception Report to the Project Board. D is correct because PRINCE2 requires the Project Manager to escalate any forecast deviation beyond tolerance to the Project Board via an Exception Report. This triggers a formal decision process, ensuring the board can authorize corrective action before the situation worsens.

Answer

Ask the Project Board for more tolerance

Answer

Close the project

Answer

Continue with the current plan and report in the next Highlight Report

Question 5

What is the difference between a Request for Change and an Off-specification?

Accepted Answer

A Request for Change seeks to change a baseline; an Off-specification is a product not meeting its specification. A Request for Change proposes a modification to agreed baselines, while an Off-specification is a product that deviates from its specification.

Answer

A Request for Change relates to the Business Case; an Off-specification relates to the Project Plan

Answer

There is no difference; they are synonyms

Answer

A Request for Change is always raised by the Project Manager; an Off-specification is raised by a Team Manager

Question 6

Which document describes the quality expectations and standards for the project?

Accepted Answer

Quality Management Approach. The Quality Management Approach (A) is the PRINCE2 document that defines the specific quality methods, standards, and responsibilities to be used during the project. It describes how quality will be managed, including the quality expectations, quality criteria, and the quality control and assurance activities that will be applied. This is distinct from the higher-level strategy or the product-focused descriptions.

Answer

Quality Management Strategy

Answer

Project Plan

Answer

Project Product Description

Question 7

Who is responsible for appointing the Project Manager?

Accepted Answer

Executive. In PRINCE2, the Executive is the single individual on the Project Board who has overall accountability for the project's business justification and success. The Executive is responsible for appointing the Project Manager, as defined in the PRINCE2 manual's management roles section. This ensures the Project Manager is selected by the person who owns the business case and can delegate day-to-day management authority.

Answer

Senior User

Answer

Project Board

Answer

Programme Management

Question 8

What is the purpose of the Managing a Stage Boundary process?

Accepted Answer

To enable the Project Board to review the current stage and authorize the next. The Managing a Stage Boundary process is designed to provide the Project Board with sufficient information to review the current stage's performance, approve its completion, and authorize the next stage plan. This ensures that the project remains viable and aligned with business justification before committing further resources.

Answer

To close the project

Answer

To control the work of the current stage

Answer

To plan the entire project

Question 9

Which role is responsible for providing independent assurance that the project is being managed correctly?

Accepted Answer

Project Assurance. Project Assurance is the PRINCE2 role responsible for providing independent assurance to the Project Board that the project is being managed correctly, covering business, user, and supplier perspectives. It monitors the project's performance and compliance with PRINCE2 and the PID, reporting independently of the Project Manager.

Answer

Team Manager

Answer

Project Manager

Answer

Project Support

Question 10

What is the definition of quality in PRINCE2?

Accepted Answer

Fit for purpose. In PRINCE2, quality is defined as 'fit for purpose,' meaning the product must meet the stated user needs and expectations within the project's scope. This definition aligns with the PRINCE2 principle of continued business justification, ensuring that deliverables provide value by satisfying their intended use. Unlike conformance to specification, which focuses solely on meeting documented requirements, 'fit for purpose' emphasizes that the product must actually work in its operational environment.

Answer

Conformance to specification

Answer

Customer satisfaction

Answer

Zero defects

Question 11

In product-based planning, what is the purpose of a Product Flow Diagram?

Accepted Answer

To identify the sequence of creating products and their dependencies. The Product Flow Diagram shows the order in which products are developed and their dependencies, including external dependencies.

Answer

To list the activities required to produce each product

Answer

To define the quality criteria for each product

Answer

To show the hierarchical breakdown of products

Question 12

Which TWO of the following statements about the Progress practice are correct?

Accepted Answer

The Project Manager sets tolerances for the Team Managers.. Option C is correct because in PRINCE2 the Project Manager is responsible for agreeing work packages with Team Managers, which includes setting the tolerances (time, cost, scope, risk, quality, benefit) within which each Team Manager must deliver. Option E is correct because the Project Board agrees the Project Manager's tolerances at the level of the project, defining the limits of delegated authority within which the Project Manager can manage the stage and project. Option A is wrong because an Exception Report is produced by the Project Manager to escalate a forecast breach of stage or project tolerances to the Project Board, not specifically when a project is closed early. Option B is wrong because an Exception Plan does not replace the Project Plan; it replaces the current Stage Plan (or, in some cases, the Project Plan) only for the remaining part of the project, and only after Project Board approval. Option D is wrong because Highlight Reports are produced by the Project Manager for the Project Board at the end of each reporting period (typically monthly), not at stage end — stage end reporting is covered by the End Stage Report.

Answer

An Exception Report is produced by the Project Manager when the project is closed early.

Answer

An Exception Plan is used to replace the Project Plan when the project exceeds its tolerances.

Answer

Highlight Reports are produced by the Project Manager for the Project Board at stage end.

Question 13

Who is responsible for maintaining the Business Case throughout the project?

Accepted Answer

Project Manager. In PRINCE2, the Project Manager is responsible for maintaining the Business Case throughout the project, including developing and updating it as needed. The Executive (Senior Responsible Owner) owns the Business Case and approves it, but the day-to-day maintenance is the Project Manager's responsibility.

Answer

Executive (Senior Responsible Owner)

Answer

Senior User

Answer

Project Board

Question 14

Which document is the key output of the Initiating a Project process?

Accepted Answer

Project Initiation Documentation. The Initiating a Project process is responsible for establishing a solid foundation for the project, and its key output is the Project Initiation Documentation (PID). The PID consolidates all essential information, including the Business Case, Project Plan, and Risk Register, to define the project's scope, objectives, and controls. This document is used to confirm that the project is viable and to obtain authorization to proceed.

Answer

Project Brief

Answer

Stage Plan

Answer

Business Case

Question 15

A project is forecast to exceed its cost tolerance. What should the Project Manager do?

Accepted Answer

Raise an Exception Report to the Project Board. In PRINCE2, cost tolerance is a delegated limit agreed between the Project Board and the Project Manager at the stage or project level. When a forecast shows that a tolerance will be exceeded, the Project Manager must escalate the matter by producing an Exception Report and raising an Exception to the Project Board, which then decides how to proceed (e.g., approve a new plan, change scope, or stop the project). The Project Manager cannot unilaterally change the budget or continue as if nothing has happened, because tolerances define the boundaries of their delegated authority.

Answer

Close the project as the Business Case is no longer viable

Answer

Continue with the current Plan and report in the next Highlight Report

Answer

Increase the project budget to absorb the additional cost
